Know what will happen before you import
You do not enter an estimated head count. UpShout calculates active seats from Bonusly and your existing UpShout organization, then shows the resulting roster, invitation list, point balances, and cost for approval.
What moves to UpShout
Imported
- Active and archived user profiles
- Names, email addresses, roles, departments, managers, and available profile dates
- Current points received and points to give for active users, with admin approval
- Company values represented by Bonusly hashtags
- Public recognition history, including original dates and point amounts
- Completed reward redemptions as labeled, read-only history
Not imported
- Comments, reactions, GIFs, and attachments
- Private or deleted recognition
- Unfulfilled rewards and Bonusly billing data
- Zero-point add-ons
- Points on inactive profiles
Before you begin
You need administrator access in both products and a temporary Bonusly Personal Access Token. UpShout sends read requests only, but Bonusly requires these scopes to return the complete organization roster and reward history.

Migration steps

Create a temporary Bonusly token
Sign in to Bonusly as an organization admin. Open API & Tokens, create a Personal Access Token with the scopes below, and use the shortest practical expiration.

Preview the complete plan
Paste the token in UpShout under Admin → Integrations → Bonusly Import. Previewing reads Bonusly data but does not create accounts, change balances, send email, or import history.

Review people, points, invitations, and cost
UpShout calculates the impact from the source data. Review every create, update, and skip action, active seat total, balance change, eligible invitation, history total, and estimated cost.

Approve and import
Choose whether to apply active-user balances and send invitations, then start the import. If the source or destination changes after preview, UpShout requires a fresh preview before it can continue.

Verify, invite, and revoke
Check representative profiles and history before switching off Bonusly. Invite the team only when you are ready, then revoke the temporary token in Bonusly.
What the preview shows
The preview is the approval screen—not a sample. Search and filter the complete roster, inspect individual outcomes, and review these totals before import.
Seats and cost
See current active users, active users after import, the net seat change, cost today, and the published post-beta monthly list price. Historical inactive profiles cost $0.
Points
See the total points received and points to give that will replace current UpShout balances. Active-user balance import is on by default and requires admin approval.
Invitations
See exactly which active users are eligible for email. Invitations are off by default; accounts and history can be imported without notifying anyone.
History
See recognition, value, and completed redemption totals, including any records that must be skipped because a related person cannot be mapped.
Inactive profiles
Archived people remain inactive, receive no invitation, hold zero points, and exist only so historical recognition and redemptions keep the right attribution.
Important balance behavior: importing balances replaces both current UpShout points received and points to give for included active users. It is selected by default, but the admin can turn it off before approval. Inactive users always receive zero points.
Verify before cutover
Keep Bonusly available until the import reports Complete and these checks pass. Running the same completed import again is safe: previously imported records are updated or skipped instead of duplicated.
- Compare active and inactive user counts with the preview.
- Check several admins, managers, departments, birthdays, and hire dates.
- Confirm points received and points to give for representative active users.
- Compare recognition senders, recipients, dates, values, and point amounts.
- Check completed redemption history and any skipped-record totals.
- Confirm invitation recipients before enabling email.
Finish securely
- Resolve any unexpected skips or count differences.
- Enable invitations only when the team is ready to join UpShout.
- Export or retain anything listed under “Not imported” if you need it.
- Revoke the migration token in Bonusly after verification.
- Only then complete your Bonusly cancellation or cutover.
Troubleshooting
The token is rejected
Confirm that the token has all six listed scopes, has not expired, and belongs to a Bonusly organization admin. Create a new short-lived token if needed.
The active-user count looks too high
Do not import yet. Search the Active users and Inactive historical profiles lists in the preview. The seat estimate counts only resulting active accounts; historical inactive profiles are shown separately and cost $0.
The plan changed after preview
Preview again. UpShout blocks stale approvals whenever Bonusly data or destination impact changes, so you can review the new people, balances, invitations, and cost.
The import stopped or failed
Wait for any running job to finish, then preview again and retry. Previously imported source records are not duplicated. If it fails again, book a migration walkthrough and share the stage and error message—but never the API token.
